This policy covers lcarsprime.com, the LCARS-Prime STFC Information & Moderation Discord bot and the connected features operated by our team. It explains what we process, why we use it and how to contact us about your information. Other Discord servers and third-party services have their own privacy practices.
1. Discord identity and website accounts
When you choose Discord sign-in, Discord authenticates you and provides your Discord user ID and profile name so we can link repeat visits to the same website account. Our website sign-in requests basic identity access; it does not request your email, private messages or server list. Your Discord password is entered with Discord, not with us.
The website stores the linked account, Discord identifier, profile name and account creation information. It uses a secure sign-in session and temporary authorization state. The website login component does not retain Discord access or refresh tokens after the identity check and attempts to revoke that identity grant. This is separate from the service credentials the bot needs to operate.
2. Public game information and private account data
Our public Explorer contains reviewed game definitions, artwork references, ordinary public player and alliance profiles, public game statistics and observed server and territory information. These records may be incomplete or out of date. A public game profile is not proof that a website member owns that profile.
When you intentionally save or import supported account information, we may process your game name, server, alliance, account labels, operations level, ships, officers, buildings, research, progression, preferences and other supported gameplay fields needed for that feature. Personal DLL/TOML account-sync data, inventory and account exports are separate from the public catalog. Supported website account imports are owner-private; the website’s account store and production bot account store are currently separate.
A result you choose to post through a bot command may be visible in the destination Discord channel. Check the destination and the feature’s sharing controls before submitting private information.
3. Discord moderation and community features
The bot may process Discord user, server, channel, role and message identifiers, names, permissions, command activity and settings needed for enabled features. Depending on a server’s configuration, records may include moderation cases and reasons, warnings, strikes, temporary restrictions, audit records, welcome settings, role tools, saved templates, alerts, events and delivery state.
Message content may be processed for requested commands, interactive workflows, enabled moderation rules, configured logs, saved templates and other selected features. The bot is not intended to maintain a general archive of every server message. Content deliberately saved or included in a moderation record may be retained for that feature. Server administrators control their server’s rules, log destinations and many visibility settings; contact that server’s staff about independent moderation decisions.
The website reads the designated LCARS-Prime announcements channel through the separate website Discord application. It stores selected announcement text, author display names, dates and supported media references for the public announcements pages. This reader is limited to that channel. Opening Discord-hosted images or other external links also involves the relevant provider.
4. Contact and feedback
Our contact form stores the name or nickname, optional reply email, selected topic and message you provide in a private website inbox accessible to website administrators. We use it to review requests and respond where contact information is available. The form does not automatically publish your message, post it to Discord or link it to your signed-in game account.
Spam prevention uses a short-lived, salted hash of the connection address. The contact inbox does not store the raw address; hosting and security logs may separately contain network information. Do not submit passwords, tokens, authentication codes, payment card details or account exports through feedback.
5. Cookies, preferences and operational records
Cookies and temporary state support sign-in and security. Browser storage remembers interface choices such as your selected LCARS-Prime or Romulan display theme. Blocking or clearing storage may reset preferences or prevent signed-in features from working.
Hosting, network and security systems may process request paths and times, IP addresses, browser information, response codes, errors and abuse-prevention signals. Our configured website access log redacts Discord authorization codes and state values. This website implementation does not add advertising trackers or third-party audience analytics.
6. Optional support and recognition
Stripe processes payments on its own service. To manage recurring support and Discord recognition, our website keeps relevant Stripe customer and subscription identifiers, checkout references, eligibility, paid-through dates, webhook event identifiers and role-delivery state linked to your Discord account. Our support ledger does not store your payment card details or copy your billing name. Stripe processes its own payment and billing records under its policies.
Public contributor recognition is optional and uses the public name you choose. You can withdraw that recognition through the support controls. Removing a website account or contributor name is separate from cancelling a Stripe subscription.
7. How we use and share information
We use information to provide requested features, authenticate access, remember settings, display public game data and announcements, administer enabled moderation tools, manage support recognition, investigate issues and abuse, maintain reliability and respond to requests. Where applicable law requires a legal basis, the basis depends on the activity and may include delivering a requested service, legitimate operational and security interests, consent or a legal obligation.
We do not sell personal information. Information may be disclosed to Discord or an enabled external provider to carry out a feature; to administrators and members who can see the selected Discord destination; to hosting, security, backup and payment providers; or when reasonably necessary to comply with law, protect rights and safety or investigate abuse. Enabled AI-assisted features may process submitted prompts and relevant feature context through the configured model service; avoid including credentials or unnecessary sensitive information.
The website uses HostHatch VPS hosting and Cloudflare network services. The production bot currently uses Railway infrastructure. Discord, Stripe and other feature providers may process information in the United States or other countries with different data-protection laws. Provider policies govern their independent processing.
8. Retention and removal
Records remain while needed for the feature, support request, security, dispute handling, legal obligations or service continuity. Saved accounts and settings may remain until changed, removed through available controls or handled through a verified request. Moderation and audit records may remain while needed by the relevant server. Contact submissions are reviewed and removed administratively; this form does not currently have an automatic 365-day deletion schedule.
Operational logs, cached announcements and delivery records have retention needs that differ from account information. Backups may retain older information until rotated or safely replaced, and financial providers may retain records under their own obligations. Removing the bot, revoking Discord authorization or signing out does not automatically delete all stored records or cancel recurring support.
9. Your choices and requests
You can browse public pages without creating a member account, sign out, manage the website application’s authorization in Discord, change available profile and sharing settings, and use supported account controls. Depending on applicable law, you may have rights to request access, correction, deletion, restriction, portability or objection, or to withdraw consent where processing relies on consent.
Use our Contact page for a privacy request. Include the relevant Discord user ID, server ID when needed, the type of request and enough context to locate the record. We may ask you to verify control of the affected account. Do not send passwords, tokens or government identification. Some records may need to be retained where permitted or required by law. Questions about another server’s own records should also be directed to its administrators.
10. Security, eligibility and changes
We use safeguards such as HTTPS, access controls, private storage, permission checks, protected service credentials and backups. No system can guarantee complete security. Discord-connected features are not directed to children below Discord’s applicable minimum age; use them only when permitted under Discord’s requirements.
We will update this page and its revision date when relevant practices change, with additional notice or consent where required. Contact the LCARS-Prime team through the Contact page or our Discord community. Detailed website sign-in and account-storage information is also available in our website account notice.
